This policy explains what SDRD Solutions Pvt Ltd collects when you use VocoLogic, why, who else sees it, where it goes and how long it is kept. It covers the website at vocologic.com, the portal at app.vocologic.com, and the voice agents that answer telephone calls on our customers’ behalf.
1. Two different roles
VocoLogic sits between two sets of people, and our obligations differ for each. It matters that you know which one applies to you.
If you are our customer — a business that has an account with us — we decide how your account information is handled. We are the controller of it, and this policy is our promise to you about it.
If you telephoned one of our customers and spoke to their agent, the business you called decides what happens to that call. They are the controller; we process it on their instructions. We do not use your call for our own purposes. If you want your call data corrected or deleted, ask the business you called — and if you cannot reach them, contact us and we will pass your request on and help them act on it.
2. What we collect
When you open an account
- Your business name, your email address and your password. The password is stored only as a cryptographic hash — we never see it.
- Your country, which decides your currency, which telephone providers are available to you, and which of our servers handles your calls.
- Your business’s time zone, detected from your browser when you sign up, so times are shown in your local time. You can change it.
What you tell your agent about your business
- Everything you enter in the Agent Builder: your business name, hours, services, prices, how you want the phone answered, and a number to transfer calls to.
- Your telephone numbers, and the settings attached to them.
Calls
- The caller’s telephone number, and the time and length of the call.
- A transcript of what was said, turn by turn.
- An audio recording, only if the business has turned recording on. It is off unless switched on.
- Anything the caller gave in order to be served: a name, a contact number, an appointment time, notes about what they wanted.
Billing
- Your plan, your credit balance, your orders and what you paid.
- The bank reference for a transfer, so a payment can be matched to an order.
- For each order: who placed it, the IP address it was placed from and the browser used, and any terms you agreed to, as a record of the purchase.
- We do not hold card details. There is no card payment on the platform today; customers pay by bank transfer. When an online payment gateway is added, the card details will be entered on the payment provider’s own systems and will not pass through ours.
Technical
- Server logs, including IP addresses, for security and for diagnosing faults.
- Your IP address, to guess which country’s prices to show you. The lookup uses a database held on our own server, DB-IP’s IP to Country Lite, so your address is not sent anywhere to do it, and the guess is not stored. You can choose another country on the pricing page, which is remembered in a cookie.
- A session cookie, so you stay signed in. We do not use advertising or tracking cookies, and there is no third-party analytics on this site.
3. Why we use it
- To answer calls — the agent needs your business details to say anything useful, and the caller’s words to reply to them.
- To show you what happened — transcripts, bookings and call records in your portal.
- To bill you — minutes used against credits bought.
- To keep the service working and secure — logs, fault diagnosis, and preventing abuse.
- To contact you about your account, your balance, and changes to the service.
We do not sell your data. We do not sell your callers’ data. We do not use the content of calls to train artificial-intelligence models, and our contracts with the providers listed below do not permit them to either.
4. Google Calendar
Connecting a Google Calendar is optional. The agent works without one; connecting it only stops the agent offering a time you have already filled.
What we access. We request the narrowest Google permission that lets the agent do its job: read the times your calendar is busy, and create or update the events for bookings the agent takes.
What we do with it. Two things, and nothing else. Check whether a requested time is free before offering it, and write a confirmed booking into your calendar. We do not read your calendar for any other purpose, we do not use it for advertising, we do not sell it, and we do not use it to train or improve any artificial-intelligence model.
How it is stored. Busy times are read at the moment they are needed and are not kept afterwards. The bookings the agent creates are stored with your call records, in the same database as the rest of your account. The credential that lets us reach your calendar is encrypted, with the key held outside the database.
How it is deleted. Disconnect the calendar in the portal and the credential is destroyed immediately; we can no longer reach your calendar at all. Events the agent already created stay in your calendar, because they are yours — delete any you do not want. Closing your account destroys the credential in the same way.
VocoLogic’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
5. Who else processes it
Answering a telephone call in a natural voice takes several specialists, and we do not pretend otherwise. Each of these sees only what it needs to do its part.

The speech and language providers can change as better or faster ones become available. When one changes, this table changes with it.
We also share information where the law requires it, and with professional advisers bound to keep it confidential.
6. Where your data is held, and when it leaves India
Our database, our call recordings and our servers are in Mumbai, India. Calls on Indian numbers are carried on our own servers there.
Call audio and transcripts are sent to the United States while a call is in progress, because the speech recognition, language and voice providers in the table above operate there. This happens in the seconds the call is live. The permanent record — transcript, recording, booking — is stored in India.
If you take calls on a number outside India, LiveKit Cloud carries that call in the region serving that number.
7. How long we keep it

8. Recording calls, and telling people
Recording is off unless the business switches it on. Where the law of a country requires callers to be told that a call is being recorded, the agent says so at the start of the call, and the wording is set per country rather than left to chance.
If you are our customer: you decide whether to record, so telling your callers and having a lawful basis to record them is your responsibility. We give you the switch and the spoken notice; we cannot know your obligations for you.
9. Your rights
Under the Digital Personal Data Protection Act, 2023 and other laws that may apply to you, you can ask us to:
- tell you what we hold about you, and why;
- correct anything that is wrong or out of date;
- delete what we hold, where we are not required to keep it;
- give you a copy of your data in a form you can take elsewhere;
- nominate someone to exercise these rights if you cannot.
Write to us using the details below. We answer within 30 days. If you are not satisfied with our answer you may complain to the Data Protection Board of India.
If you called one of our customers and want your call data removed, see section 1 — the business you called decides, and we will help you reach them.
10. Security
- Everything travels over encrypted connections.
- Each customer’s data is separated inside the database itself, not merely by application code, so a programming mistake cannot show one customer another’s records.
- Carrier credentials, calendar credentials and other secrets are encrypted with a key held outside the database.
- Recordings are private and reachable only through short-lived signed links.
- Actions our staff take on a customer account are written to an audit log that the person acting cannot edit or delete.
No system is perfectly secure. If a breach affects you, we will tell you and the Data Protection Board as the law requires.
11. Children
VocoLogic is a service for businesses and is not intended for anyone under 18. We do not knowingly collect data from children. If a child telephones one of our customers, that call is handled by the business they called, under section 1.
12. Changes to this policy
When this policy changes, the date at the top changes and the new version is published here. If a change materially affects you, we will email account holders rather than rely on you noticing.
